How long should I keep my record book?

Records of a notarization other than an online notarization, are required to keep, in a safe and secure manner, copies of the records of notarizations performed for the longer of:

  1. The term of the commission in which the notarization occurred; or
  2. Three years following the date of notarization.
  3. However, the best practice would be for the notary to permanently maintain copies of the records.

Records of an online notarization shall be retained, in a safe and secure manner:

  1. For five years following the date of the notarization.
  2. Must also maintain a back-up of the electronic records for the same period of time.
  3. Both the original records and the back-up shall be protected from unauthorized use.
